Privacy Policy

Who we are

This website (wholisticpractice.co.za) is operated by Wholistic Private Practice ("Wholistic", "we", "us"), and is currently a waiting-list and information site for a practice-management product for South African psychologists and Registered Counsellors. This policy covers the website only. Once the product itself launches, it will process client and practice data under its own, separate privacy policy — because that data includes health information, it will be held to a materially higher standard than what's described below.

Information we collect

Information you give us directly. The only way to join the waiting list is by emailing us at support@wholisticmhc.com. We receive whatever you include in that email — typically your email address, name (if you sign it), and anything else you choose to tell us.

Information collected automatically. Like any website, our hosting provider logs standard technical data for every visit — IP address, browser and device type, pages viewed, and timestamps — for security, abuse prevention, and keeping the site running. This site does not use cookies, analytics scripts, or advertising trackers of any kind.

How we use it

We use your email to add you to the waiting list, contact you when Wholistic launches, and reply to whatever you asked us. We don't sell, rent, or use your information for advertising, and we don't send marketing you didn't sign up for — waiting-list members get one email: the launch notice, plus replies to anything you send us directly.

Our legal basis

Under POPIA, we process your information on the basis of your consent (you choose to email us to join the list) and our legitimate interest in operating and securing this website and responding to enquiries. You can withdraw consent and ask to be removed from the waiting list at any time — see "Your rights" below.

Who we share it with

We don't sell or share your information with third parties for their own marketing purposes. It may pass through service providers who process it on our behalf and under instruction — our website hosting provider (which may process data outside South Africa, under that provider's own security and compliance commitments) and our email provider. We don't use any other third-party processors on this site.

How long we keep it

We keep waiting-list emails until Wholistic launches and the launch notice has gone out, or until you ask us to delete them, whichever comes first. Standard hosting logs are retained only as long as our provider's default retention period, for security purposes.

Keeping it secure

We take reasonable technical and organisational measures to protect the information we hold against loss, misuse, or unauthorised access — including restricting who can access our inbox and waiting-list records, and using a reputable hosting provider with its own security practices. No method of transmission or storage is perfectly secure, but we don't collect more than we need, which limits what there is to protect.

Your rights

Under POPIA, you have the right to:

• Access the information we hold about you
• Correct information that's inaccurate or outdated
• Ask us to delete your information, including removing you from the waiting list
• Object to or restrict how we use your information
• Withdraw consent at any time, without affecting anything done before you withdrew it

To exercise any of these, email support@wholisticmhc.com — we'll respond within a reasonable time. If you're unhappy with how we've handled your information, you can also lodge a complaint with South Africa's Information Regulator at inforegulator.org.za.

Children's privacy

This website and waiting list are intended for practicing and prospective mental health professionals, not children. We don't knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy as the website or waiting-list process changes. The effective date at the top will always reflect the latest version. If changes are significant, we'll note them here.
