Getting a BHF Practice Number (PCNS Registration)

What it is

Your BHF Practice Number (issued via the Practice Code Numbering System — PCNS) is the unique identifier medical schemes use to recognise you as a healthcare provider and process claims. You cannot register with any medical scheme, or have clients claim for your sessions, without this number. It is administered by the Board of Healthcare Funders (BHF) under Regulations 1 and 5 of the Medical Schemes Act (Act 131 of 1998).

Prerequisite: you must already have your HPCSA registration and category-specific registration number before applying.

Good news: the application process, documentation, and fees below are the same regardless of which mental health category you're registered in. Psychologists, Registered Counsellors, and Psychometrists all fall under the same "HPCSA Professionals" pricing group with the BHF. The only thing that differs between categories is the discipline code you select on the application, which must match your actual HPCSA registration category.

Step 1 — get the right application form

Mental health professionals apply under the HPCSA Professionals category — part of the "Solus Practice" grouping on the PCNS pricing table, which covers individual/sole HPCSA-registered professionals, allied health practitioners, social workers, etc. Application forms portal: pcns.co.za/ApplicationForms. Make sure the discipline/category field reflects your specific HPCSA registration — this determines which tariff/procedure codes will later be linked to your practice number.

Step 2 — gather your documents

Applications will not be processed without certified copies (certified by an impartial Commissioner of Oaths not older than 3 months, and not someone related to or with any financial interest in your practice):

• Certified copy of your South African ID (or passport + proof of permanent residence, if not a SA citizen)
• Certified copy of your HPCSA Independent Practice Registration Certificate (in your specific category), signed by the HPCSA Registrar (mandatory)
• Proof from HPCSA that your annual membership fee is up to date (download the statement from the HPCSA self-service portal)
• A stamped bank account confirmation letter, not older than 3 months, showing your ID/company registration number
• The bank verification form (found on page 4 of the application), signed by you as both practice owner and account holder
• Completed Commissioner of Oaths section, practice/facility details form, and signed declaration
• Debit order authorisation for the annual PCNS renewal fee (mandatory — BHF requires this to be active, not optional)

Step 3 — submit your application and pay

Payment for a NEW application: submit your application form first. Once BHF issues you a reference number, pay using that reference (not your practice number, since you don't have one yet).

Step 4 — current 2026 fees

Solus Practice / HPCSA Professionals category

The application fee is non-refundable, whether or not your application is ultimately approved. The annual renewal fee (R443.00) must be paid by 31 March each year to keep your practice number active — non-payment can lead to suspension of your practice number, which directly affects your ability to claim from medical schemes. Always reference your surname and HPCSA council number for new applications, or your 7-digit practice number for renewals.

Timeline

Processing typically takes 10–20 working days, provided the form is complete and all required documents are attached. Once your practice number is issued, BHF electronically notifies all medical schemes on the PCNS database — this is what makes registering with individual schemes afterwards much faster.
